Can We Meet

AI tools for personal and executive assistants: a practical guide

The best AI tools for executive assistants each do one job well: drafting email, planning a diary, coordinating a group or taking notes. Choose by workflow, check what each tool can access, and keep judgement, sending and confirmations with you and your principal.

The best AI tools for executive assistants, by workflow

Start from the jobs that take your week, then pick one tool per job that your organisation already approves. Most assistants end up with a small, overlapping set rather than one tool that does everything.

Assistant workflows and example tools

Inbox drafting and summaries
Example tools: Microsoft Copilot in Outlook, Gemini in Gmail
What to check: Whether your employer has enabled it, and whether you may use it on your principal's mail
Personal calendar planning
Example tools: Reclaim, Motion
What to check: Which calendars it can edit, and whether it moves events without asking
Group meeting coordination
Example tools: Doodle, Calendly, Can We Meet
What to check: Whether outside guests need an account, and who confirms the final time
Meeting notes
Example tools: Otter
What to check: Recording consent from everyone in the meeting

Features change often and vary by plan, so check each vendor's own documentation, linked in the sources below, before relying on a specific capability.

AI scheduling tools for executive assistants

Executive assistant scheduling software falls into three kinds. Booking pages (Calendly) let guests pick from times you publish. Polls (Doodle, Outlook Scheduling Poll) let guests vote on options you choose. An AI scheduling assistant such as Can We Meet lets each person reply in their own words, then works out the overlap.

Booking pages suit a principal with open, predictable time. Polls suit a few fixed options. Plain-language replies suit senior, external or busy groups who will not fill in a grid but will say "any morning except Wednesday".

Example: a PA arranging a board call (fictional)

Sarah is a fictional PA. Her principal's corporate Outlook diary is managed by IT and cannot be connected to outside tools, and three of the five board members work for other companies.

  1. Her principal says: "Get the board together for an hour before the end of the month."
  2. Sarah checks the corporate diary herself, then starts a Can We Meet meeting from her own account: "One-hour board call with five people before 30 November. My principal is free Tuesday and Thursday afternoons."
  3. Can We Meet gives her an invite link. She reads the summary and sends the link herself, from her own email.
  4. Board members reply in their own words. Sarah asks: "Who hasn't replied, and which times work so far?" and nudges the late ones personally.
  5. She checks the best option against the real corporate diary, agrees it with her principal, then confirms it and sends the calendar invite.
A board member's reply
“Any afternoon except the 18th; I'm on New York time that week.”

Nothing in this flow logs in to the principal's account. Because the corporate diary is not connected, those times count as what Sarah typed, not as verified free time.

Where a human assistant's judgement matters most

  • Deciding which meeting matters more when two collide.
  • Knowing a principal's unwritten preferences, energy and travel.
  • Handling sensitive, confidential or political invitations.
  • Reading tone in a reply and knowing when to phone instead.
  • Confirming anything that commits someone else's time or money.

Boundaries: consent, security and policy

  • Get your principal's agreement before connecting their calendar or mailbox to any tool.
  • Follow your employer's policy on approved AI tools and data sharing.
  • Prefer tools that act as your signed-in account and ask before sending or booking.
  • Avoid pasting confidential details into general chat tools without approval.
  • Know how to disconnect a tool and revoke its access.

Use Can We Meet with your AI assistant

This is where Can We Meet fits an assistant's toolkit. You can use it in the Can We Meet website or app, or operate it through a supported AI assistant such as ChatGPT or Claude as an MCP connector. The connector acts as your signed-in account, does not send invites on its own, and books only after you choose a time.

Can We Meet offers an MCP connector, so a supported AI assistant can start a meeting, fetch the invite link, check replies and confirm a time you choose, all through your own signed-in account. Which assistants can use it depends on each platform and on your plan or organisation settings, so check the connect page for current, step-by-step instructions.

Platform availability and plan restrictions differ between assistants and organisations, so not every assistant or workspace will offer it. The connect page lists the current options and setup steps. Can We Meet for assistants covers PA-specific use.

You can use Can We Meet directly in your browser at canwemeet.me, without connecting another AI assistant. Check the site for supported app availability.

What a scheduling tool should not see

Can We Meet only checks calendars you have connected and allowed. If a work diary cannot be connected, those times are treated as unknown, not free, and the organiser confirms the final time. It is not an automatic booking service that can see everyone's diary.

When an external AI assistant is involved, that assistant's own privacy policy also applies to your conversation with it.

Frequently asked questions

What is the best AI tool for an executive assistant?

There is no single best tool. Pick by workflow: one for drafting, one for scheduling and your existing note and task tools, all approved by your employer.

Can I use Can We Meet if my principal's work diary can't be connected?

Yes. Organise from your own account and type the principal's availability. Those times are treated as what you said, not as verified free time.

Can an AI assistant book meetings for me?

With the Can We Meet connector, it can confirm a time only after you explicitly choose it.

Which AI assistants work with Can We Meet?

See the connect page for the current list. Availability depends on each platform and on your plan or organisation settings.
