How to find a meeting time that works for everyone
To find a meeting time that works for everyone, collect each person's constraints first, separate hard limits from preferences, account for time zones, offer windows rather than single slots, chase missing replies, and confirm one specific date and time in writing.

Seven steps
- Collect constraints before proposing times. Ask "when can you not do it?" as well as "when are you free?".
- Separate hard constraints (school pick-up, flights) from soft ones ("I'd rather not do Mondays").
- Fix the time zone. Write every time with its zone, or ask people to reply in their own.
- Choose windows, not single slots: "Tuesday afternoon" catches more overlap than "Tuesday 2pm".
- Send one link or message to everyone so replies land in one place.
- Chase missing replies after a day, individually and politely.
- Confirm the actual date, time, zone and place in one final message.
Worked example: four people, four diary systems
You need a 45-minute call with Priya (Google Calendar), Tom (work Outlook he cannot share), Ana (iPhone calendar, in Lisbon) and Sam (no calendar at all).
- Priya's connected calendar shows her busy times directly.
- Tom writes: "Weekdays 9 to 5, but Monday mornings are always booked." His times are provisional until he checks his diary.
- Ana writes: "Afternoons UK time are fine, not Thursday."
- Sam writes: "Wednesday or Friday, any time after 10."
The overlap is Wednesday or Friday afternoon, UK time. Offer both, ask Tom to check his work diary, then confirm.
Email thread, poll or AI conversation?
| Method | Works well when | Watch out for |
|---|---|---|
| Email thread | Two or three people, flexible | Long reply-all chains and lost constraints |
| Poll (Doodle, Calendly, Outlook) | You already know good options | Options that miss the real overlap |
| AI conversation (Can We Meet) | Constraints are easier to say than tick | Unconnected diaries stay unknown, so confirm |

Use Can We Meet with your AI assistant
If you use an AI assistant, you can hand it steps 1 to 6: ask it to start a Can We Meet meeting, send you the link to share, and later list who has replied and which times work.
Can We Meet offers an MCP connector, so a supported AI assistant can start a meeting, fetch the invite link, check replies and confirm a time you choose, all through your own signed-in account. Which assistants can use it depends on each platform and on your plan or organisation settings, so check the connect page for current, step-by-step instructions.
You can use Can We Meet directly in your browser at canwemeet.me, without connecting another AI assistant. Check the site for supported app availability.
Frequently asked questions
What if no time works for everyone?
Check which constraints are soft, ask the people with the fewest options first, or split into two sessions.
How many options should I offer?
A few windows across different days usually finds overlap faster than many single slots.
How do I handle different time zones?
Always write the zone next to each time, and pick windows inside everyone's working hours.
