AI scheduling assistant: what it is and when it helps
An AI scheduling assistant finds a meeting time from what people say, not from a grid. You describe the plan, everyone replies in plain words, and it works out the overlap. Can We Meet suggests times; you always choose and confirm the final one.

What an AI scheduling assistant does
Most scheduling tools ask people to tick boxes or pick a slot. An AI scheduling assistant reads ordinary sentences instead, turns them into available and unavailable times, and compares them across everyone involved. It is useful when constraints are easier to say than to click.
In Can We Meet you start by typing or speaking the plan. You share one link. Invitees reply without an account, and the assistant shows the times that work for everyone, plus near misses.
Requests it can understand
“Coffee with Priya and Dan next week, ideally a morning, not Monday.”
“Tuesday or Thursday before 11 works, but I'm in Leeds on Thursday so make that a call.”
“Any evening except Wednesdays, I do the school run so not before 6.”
Each reply becomes a set of windows and exclusions. If two replies cannot fit, it says so and suggests asking one person about a soft constraint, rather than inventing a time.
AI scheduling vs polls, booking pages and Outlook
| Approach | How people respond | Best for |
|---|---|---|
| Doodle poll | Vote on options the organiser chose | A few known options |
| Calendly booking page | Pick a slot the host published | One host with open time |
| Outlook Scheduling Poll | Vote on suggested times, with free/busy inside the organisation | Colleagues on Microsoft 365 |
| AI scheduling assistant (Can We Meet) | Reply in their own words | Mixed groups, families and people outside your company |
Four ways to arrange a group meeting
- Doodle poll
- How people respond: Vote on options the organiser chose
- Best for: A few known options
- Calendly booking page
- How people respond: Pick a slot the host published
- Best for: One host with open time
- Outlook Scheduling Poll
- How people respond: Vote on suggested times, with free/busy inside the organisation
- Best for: Colleagues on Microsoft 365
- AI scheduling assistant (Can We Meet)
- How people respond: Reply in their own words
- Best for: Mixed groups, families and people outside your company
Why personal context matters
A calendar entry called "Yoga" might be flexible for one person and a hard childcare slot for another. A family calendar on the fridge is not in any app. A work diary may be locked by IT. A good assistant treats these differently instead of reading every gap as free time.
If you create a free account, a short private onboarding chat lets you tell Can We Meet things like "I collect the kids every Wednesday at 3:15" or "I work in London on Tuesdays". You confirm each fact before it is saved, and you can edit or delete it later. Those facts then shape the times it suggests for you, without being shown to invitees.
What it cannot do
- It cannot see diaries nobody has connected. Those times are unknown, not free.
- A locked work calendar stays provisional until its owner checks it.
- It suggests times; the organiser always chooses and confirms the final one.
- It does not chase people for you. The organiser shares the link and follows up.
Can We Meet only checks calendars you have connected and allowed. If a work diary cannot be connected, those times are treated as unknown, not free, and the organiser confirms the final time. It is not an automatic booking service that can see everyone's diary.
Use Can We Meet with your AI assistant
You can run all of this from the Can We Meet website, or ask a supported AI assistant such as ChatGPT or Claude to start the meeting, fetch the link and check replies, where its platform and your plan allow connectors.
Can We Meet offers an MCP connector, so a supported AI assistant can start a meeting, fetch the invite link, check replies and confirm a time you choose, all through your own signed-in account. Which assistants can use it depends on each platform and on your plan or organisation settings, so check the connect page for current, step-by-step instructions.
You can use Can We Meet directly in your browser at canwemeet.me, without connecting another AI assistant. Check the site for supported app availability.
Frequently asked questions
Is an AI scheduling assistant the same as a booking page?
No. A booking page shows one person's open slots. An AI scheduling assistant compares what several people say and finds the overlap.
Does it book meetings automatically?
No. Can We Meet suggests times, and the organiser chooses and confirms the final one.
Do invitees need to connect a calendar?
No. They can just reply in words. Connecting a calendar is optional and only for people who choose to.
Is it free to try?
You can start a meeting at canwemeet.me without an account.
Try it on your next meeting
Start without an account, or create a free one and spend a minute teaching Can We Meet how your week works.
